Salesmate provides you the option to create and capture date-based custom fields. You would like to capture some important dates like birthdays, anniversary dates, contract start dates, etc. Not just capture but be reminded to follow up on those days. With the power to create custom fields and run the workflows on them, Salesmate lets you achieve your desired target to be reminded and follow up with them.
How can you achieve this?
Take an example of a birthdate and send out an automated birthday greeting to the concerned contact. Follow the below steps to achieve it:
- Create a custom field for the birth date (Mention the Actual Date of Birth)
- Update existing data with birthdates
- Create an email template for birthday greetings
- Create a workflow to send out automated birthday greetings
Creating a custom field for birth date:

Updating existing data with birthdates:
- Once the birthdate field is created, update the existing record with the birthdate field.

Creating a workflow to automate the sending of birthday greetings:
- Navigate to the More Icon from the left sidebar
- Click on Workflow
- Create a New Rule
Basic Information:
- Select the Module on whose action the workflow will execute (Ex: Contact)
- Mention the Rule Name & Description that you wish to create Workflow for
- Once done click on Next
Execute On:
- Select the Action based on which the Rule should be Executed (Ex: Date Based)
- Mention the following details,
- Choose a date field: Specify the date field to be used, such as Birthdate.
- Date of Execution: Indicate the specific date when the Workflow should be activated or initiated.
- Time of Execution: Specify the exact time when the Workflow should commence or take effect.
- Execution Cycle: Determine the frequency or interval at which the Workflow should be executed
- Then click on Next to move further
Rule Criteria
- Mention the Rule Criteria based on which the Workflow should be executed (Ex: None)
Actions:
- Select the Action for the Workflow to trigger (Ex: Send Alerts)
- Provide the following details,
- Name: Provide the appropriate Name
- Email Template: Select the Email Template that you wish to send as an Alert
- From and Reply To: Choose the From and Reply to Owner
- Email Recipients: Select the Recipient who should receive the Alert
- You can also choose to Track the Email open and click and Append the Signature of the Sender
- Once done, Save the details
- You can Save the Workflow
Thus, when the date occurs an automated birthday greeting offer will be sent out at 10:00 AM, one week before the date of their birthday.
