Feeling difficulty in managing your Activities?
Do you have multiple sets of Activities that need to be performed at different stages of your sales cycle?
We understand your pain and hence have come up with Automation of workflow rules to help you through:
- Creating an organized environment as you manage and monitor your ongoing deals.
- How does it work when a deal reaches a new stage in your Sales Pipeline?
- Add activities to deals reaching certain stages.
- Set it up, and every time a deal reaches a new stage, Salesmate will add a new activity.
Here is an article and steps to help you through the process of setting up your workflows :
- Navigate to the Profile icon on the top right corner
- Click on Setup
- Head over to the Automation category
- Click on Workflow
- Add a Workflow - Create a " + New Rule"
Basic Information
- Select the Module on whose action the workflow will execute (Ex: Deal)
- Mention the Rule Name & Description that you wish to create Workflow for
- Rule Name: Schedule a call when a deal stage is updated ( You can provide any rule name, which helps you to understand flow)
- Rule Description: (Any description, which helps you to understand your flow afterward)
- Click Next
Executes On
- Choose an action based on which the rule will be executed (Ex: Field Update)
- Select Pipeline as your field
- You will get an option "From" and "To" please select your choices
- For Eg: From "Opportunity" 1st Stage to "Any" Stage of a Pipeline, Say "Qualified"
- Click Next
Rule Criteria
- Do not place any conditions in case you want to execute the workflow for the Field Update
- Click Next
Actions
- Select the Action as Assign Activity and Click on + Add
- Title: Purpose for which Activity is Created
- Type: Helps you to identify the kind of Activity the user needs to perform i.e. call, task, meeting, demo
- Choose Start Date: Select the Activity Field plus the number of days
- Duration: Select the Time the Activity should last
- Availability: Busy/Free, this option helps users identify availability for other meetings
- Internal Note: Internal summary can be maintained for quick reference. The "Internal Note" - does not sync with your calendar and can be viewed in the Salesmate web and Mobile app only.
- Owner: The Key Account Manager handling the Activity
- Followers: Associate users or contacts for internal tracking (this does not affect Calendar invites)
- Tags: Tags help you easily identify records under Filters and Conditions for the next sets of Action
- Location: You can provide Meeting Location Details using this option
- Once done, hit Save further Save the Workflow
Note:
- Trigger today + 2 = Activity will be due after 2 days when a stage is updated.
- If you select plus 0, then it will be assigned right away and marked to be completed on the same date.
- If you add 2, it will be assigned right away and marked as completed in the next 2 days.
