Salesmate’s Marketing Email Frequency Safeguard helps you control how many marketing emails a contact can receive within a specific time period. This helps prevent over-emailing, reduce unsubscribe risk, and protect your email engagement and sender reputation.
The safeguard applies to Email Campaigns and Non-Transactional Flow Emails, while transactional and other operational emails remain unaffected.

Configure Marketing Email Frequency Safeguard
You can configure the frequency limits from:
- Navigate to the Profile Icon on the top left
- Click on Setup
- Head over to Email & Delivery
- Click on Marketing Email Frequency Safeguard
Choose the Send Frequency
You can choose how Salesmate handles marketing email frequency:
- Recipients will receive all the emails
- Recipients will receive capped amount of emails
If you select Recipients will receive capped amount of emails, you can configure one or more frequency limits.
Set Email Frequency Limits
You can configure limits for:
- Daily
- Weekly
- Every two weeks
- Monthly
You can enable at least one frequency or configure multiple frequency caps based on your requirements.
When multiple frequency limits are enabled, the limits must follow this order:
- Daily < Weekly < Every two weeks < Monthly
For example, if the weekly limit is set to 6 emails, the monthly limit must be greater than 6.
Note: The frequency limits work on a rolling basis, not according to the calendar period.
For example, if you set a limit of 1 email per week and a contact receives a marketing email on Friday at 3:00 PM, they won't receive another capped marketing email until the following Friday at 3:00 PM.
How the Safeguard Works with Email Campaigns
When an Email Campaign is sent, Salesmate checks the frequency limit for each recipient at the time of sending.
- If the recipient has not reached the frequency limit, the campaign email is sent.
- If the recipient has reached the frequency limit, the campaign email is not sent.
For recipients who are skipped because they reached the limit, the campaign recipient statistics will show:
- Status: Not sent
- Reason: Reached marketing email frequency safeguard
This helps you understand why a particular contact did not receive the campaign.
How the Safeguard Works with Non-Transactional Flow Email
If the email is Non-Transactional, Salesmate checks the recipient's marketing email frequency.
- If the contact has not reached the limit, the email is sent.
- If the contact has reached the limit, the email is skipped.
- The Smart Flow continues to the next step.
The Smart Flow log will show:
- Non-Transactional Flow Email skipped because the recipient reached Marketing Email Frequency Safeguard.
Note: When the frequency limit is reached, the flow does not stop or fail. The email is simply skipped and the flow continues.
How the Rolling Frequency Limit Is Calculated
The safeguard checks the number of qualifying marketing emails sent to a recipient within the configured rolling window.
For example, if the limit is 3 marketing emails every 7 days, Salesmate checks the emails sent to that recipient during the previous seven-day period.
If the recipient has received:
- 0, 1, or 2 emails: The new email can be sent.
- 3 or more emails: The new email is skipped.
The calculation is performed separately for each recipient email address.
