This guide provides step-by-step instructions on how to send a quote using the available configuration options.
Steps to send a Quote:
To get started, Navigate to the quote you wish to send and go to its detailed screen.

Send Button Availability
The “Send” button for a quote is enabled based on the quote’s status. Please refer to Quote Status for details on when the send button is visible.
Configure Quote Options
Clicking the “Send” button will open a side overlay where you can configure the following options before sending the quote:
a. Require Signature
Enable this option if you require signatures from the recipients. If disabled, recipients can simply accept or decline the quote.
- This option will auto-enable if signature placeholders are detected in the template.
- If multiple signers are specified in the template, this option remains enabled by default and cannot be disabled.
b. Add Signers
Click to add individuals who need to sign the quote.
- Enabled only if “Require Signature” is active.
- Signers can be assigned roles, and each must be identified with the following:
- Role: An internal label that identifies signature placeholders in the template.
- Assign a Signer: Choose an active user or contact to sign the quote.
- The associated contact is added by default and cannot be removed.
- Additional signers may be added but can only be removed if they are manually assigned.
- Each signer’s role, such as Sender, Contact, or Owner, will automatically assign the respective person to the signature label in the template.
c. Set Signing Order
Enable this option if a specific signing order is required.
- Only available when more than one signer is added.
- Once activated, reorder signers to define the signing sequence, with order numbers displayed accordingly.
d. Secure with Passcode
Add an additional layer of security by requiring a passcode for signing the quote.
- Available only on Business and Enterprise plans.
- Passcodes are unique 6-digit codes valid for 10 minutes and sent directly to the signer when they attempt to sign.
Finalizing and Sending the Quote
Once all configurations are complete, click “Preview & Send.”
- If a signer’s email is missing, an error will display: “No email found for {contactName|userName}. Add an email first then try sending the quote.”
Signature Requirements
The sending process differs based on whether a signature is required:
Signature Not Required
- Click “Preview & Send” to preview the quote. Editable fields marked in the template can be modified here.
- Select “Send” to finalize the quote.
Signature Required
- Click “Preview & Send” to preview the quote, with options to add signer fields.
- Assign specific fields for each signer. If a required signer field is left blank, an error message will display.
- If you wish to sign before sending, a confirmation prompt will appear, allowing you to add your signature immediately.
Customize and Send with a Personal Message
Click “Send with Personal Message” if you want to personalize the email subject and body.
- This option allows you to add custom text (without variables or images).
- The subject will default to “Signature Requested for {QuoteName}.”
Notes:
- The email will be sent from your domain if verified; otherwise, it will come from “noreply@salesmatemail.com.”
- Upon successful sending, a confirmation message will display Quote sent successfully.
