When you send a quote to signers, they will receive an email with a link to sign the document.

Signing Order

When Signing Order is Set:
- The first signer will receive the email with the quote link to sign it.
- Subsequent recipients will receive the email after the quote is signed by the prior recipients, following the defined order.

When Signing Order is Not Defined:
- All recipients will receive the link to sign the quote at the same time.
- Every time a recipient signs the quote, their name and the time of signature will be updated in the "Signature Status" widget.
Signing Process

Start Signing
- When the recipient opens the link, they will see a "Start Signing" button. Clicking this will guide them to the first field where they need to input their information or signature.

Signature Options
- The recipient can add their signature in one of the following ways:
- Draw: Simply draw their signature using a mouse or touchscreen.
- Type: Enter their name or initials and choose from various text styles to create a digital signature.
- Upload: Upload an image of their handwritten signature (in .jpg, .jpeg, or .png formats, with a size limit of 5 MB).
- The recipient can add their signature in one of the following ways:

Insert Signature
- After choosing one of the signature methods, the recipient clicks "Insert" to place the signature in the designated area of the quote.

Fill Required Fields
- Once the signature is added, the recipient must fill in any other required fields. If any required fields are left empty, an error message will appear, e.g., "This field is required."
- If there are additional signature fields, the last-used signature will be automatically applied when the recipient clicks on the next field. If clicked again, it will be removed

Finish Signing
- Once all fields are completed, the "Finish Signing" button will appear.
- Clicking this will display a message confirming the electronic signature's validity: "By electronically signing this document, I agree that my signature and initials are the equivalent of my handwritten signature and are considered originals on all documents. I also agree to the Terms of Use and Privacy Policy."

Passcode for Security
If the quote is secured with a passcode:
- The recipient will need to enter the passcode when clicking Finish Signing, Accept, or Decline.
- The passcode will be sent to the recipient's email, and they will have three attempts to enter it correctly.
- If the passcode is entered incorrectly three times, the recipient will be informed that they can request a new passcode after 30 minutes.
- The passcode will expire after 10 minutes, requiring the recipient to request a new one if not entered in time.

When No Signature Fields Exist
If the quote does not have a signature field, the recipient will be prompted to sign at the end of the document. The signature will be appended with the following details:

- Document Name: {Quote-Name}
- Signature Reference ID: {signatureID}
- Signed On: {MM-DD-YYYY HH:MM:SS} UTC

Signed By: {signature}
- Name | Email
- IP Address | Verified (if passcode is used).

After signing, the recipient will see one of the following messages based on their actions:

For Other Signers:
"You’ve done your part. We’ll notify you once all participants take action." -
For the Last Signer:
"All done! The quote is complete.

Tracking and Events
Salesmate tracks key events throughout the signing process:
- Quote Viewed: Captured when the quote is first viewed by any recipient. The quote’s status will be updated to "Viewed". If the quote is reopened within 30 minutes from the same IP, this event will not be recorded again.
- Quote Signed: Captured each time a recipient signs the quote. The status will update to "Completed" once all recipients have signed the quote.
Once the document is signed or accepted, the recipient will see a success message and a preview of the signed quote.
